Withdrawing Items

There are two steps involved in properly withdrawing a cataloged item from the Library collection:

Update the catalog record

  1. Bring up the corresponding record by barcode (Modify Title > Search by Item ID)
  2. Verify that the item in hand matches the record. Be sure and compare the copy number and volume/issue information.
  3. Update the Item record (the Call Number/Item tab)
    1. In the Item Information section, change the Home Location to Withdrawn (the Current Location will change to be the same when you save the record).
    2. In the Extended Information section, add a Staff Note that states withdrawn per <initials of person who requested withdrawal> <date of withdrawal>
  4. Save the edited catalog record.

Update the item itself

  1. Remove the date slip from the back of the book.
  2. Remove any book plates from the front of the book (not all books will have a book plate).
  3. Next to the Rice University ownership stamp on the title page, stamp Withdrawn.
  4. Cross out the call number located on the spine of the book (using a black Sharpie marker is easiest)
  5. If any of the books are fairly new and might be donated to Better World Books, ask the Preservation Librarian Andy Damico to look at them. Otherwise, discard the books in the recycle bins in Sims Alley.

 

At the end of the month, the Senior Metadata Assistant will ask the Systems Librarian for the monthly Withdrawn Items Report. Once the report is received, the monthly report will be need to be opened and managed in Tableau Public. DO NOT SAVE THE DATA. All the data will become public if it is saved. Take a screenshot of the final report and submit the report to Jiun Kuo.
