Cataloging Decisions

Rice theses and dissertations are cataloged following a set of local procedures. When new Rice print dissertations are received, records are created in Sirsi using the MARC (book) format. For theses published from 1984 on, one circulating printed copy is housed in the stacks, and one archival microfiche copy is housed in the Woodson Research Center. For theses published before 1984, one circulating printed copy is shelved in the regular stacks, and one archival printed copy is housed in LSC).

Printed (text-based) dissertations (this will need to be revised to RDA spec)

  • Create a new record
    • Choose Add Title
      • Item Type   BOOK
        • Use OVERSIZE for items taller than 38 cm
        • Use SCORE for scores

  • Input variable fields
    • 100.  Check author's name in Sirsi (name authority and author files) to make sure there are no variant forms of entry.
    • 260.  The fixed field date and the date in the 260 field show the date given on the title page
    • 300.  Use number of volumes instead of pagination
    • 440.  Determine the department awarding the degree by referring to the commencement program; always use full form as found in Departments and Abbreviations for Theses (see Table IV.J.1).
    • 500.  If this degree is conferred later than the imprint date, this fact is shown in a note:  Degree conferred in 19__.  (The date when the degree was conferred can be verified in the commencement program.)  The thesis note (502 field) and the call number also use the date when the degree was conferred.
  • Create a MARC holdings record for multi-volume theses
  • Create a new Call Number rather than a Copy for the microfiche copy of a dissertation.  Use Item Type MICROFICHE and Location WRC.
  • Create authority records for names where the form differs on the printed and microfiche copies or where needed for compound surnames, names with prefixes, etc.
  • Pencil in the call numbers on both book and microfiche copies using standard department abbreviations.
