Receiving WRC Materials in Cataloging

The Woodson Research Center generally delivers materials directly to Cataloging and Metadata Services.

Single gift items are placed on the designated shelf in Technical Services.  The Senior Copy Cataloger with primary responsibility for WRC materials checks the shelf weekly, searches for copy, creates records, and distributes materials appropriately.  Items are cataloged primarily on Gift Days or as time permits in the regular workflow.

Materials needing order records/payment are delivered directly to the Head of Cataloging and Metadata Services who distributes the items to a Senior Copy Cataloger for searching and creating records in Sirsi. An invoice with fund code is provided when applicable. The Head of Cataloging and Metadata Services is notified after the cataloging records are in Sirsi, so that order records and payment may be made.

Special collections are also delivered directly to the Head of Cataloging and Metadata Services. A checklist is provided by the Woodson Research Center and individual items are checked against the inventory list. Any discrepancies are noted and the WRC staff notified immediately. These collections are usually pre-cataloged by the Copy Cataloger responsible for gifts processing and cataloged primarily on Gift Days.

Rush items or extremely rare and valuable materials are distributed by the Head of Cataloging and Metadata Services directly to Senior Copy Catalogers for immediate processing.
