Background

Primary Information is the name of a publisher of art books. More information about the publisher can be found here. In 2023, the Art Librarian purchased the entire back catalog of Primary Information titles, and Fondren Library has a blanket order in place for all future titles published by the publisher. We are building a non-circulating "archival" collection of Primary Information books, although some titles may have duplicate circulating copies as well.


Cataloging Overview

  • The shelf location for all items is LSC-SPECL unless otherwise noted.
  • Add a MARC 590 local note to the bibliographic record that says, "Forms part of the Primary Information collection."
  • Add a MARC 710 for the publisher, Primary Information (Organization), if it is not already in the record.

Cataloging Procedures

  1. Acquisitions staff process the Primary books and deliver them to the designated cataloger(s).
  2. Either copy catalog or create a new bibliographic record for each item, making sure that a 710 for Primary Information is in the record: 710 2_ $a Primary Information (Organization), $e publisher.
  3. Once the bib record has been imported into Alma, add a local note: 590 $a Forms part of the Primary Information collection.
  4. Create a holding in the LSC-SPECL location: 852 0_ $$b LSC $$c LSC-SPECL $$h _____ $$i _____
  5. Add an item the usual way, making sure to set the process type to Technical Services.



Marking Notes

  • Use a soft lead pencil (B, 2B) or use light pressure when writing the call number in an LSC-SPECL item to minimize damage to the page.
  • Write the call number in the item in an unobtrusive place.
  • Do not write the call number on any page that contains illustrative or textual content. Pages that contain only publication information are okay to write on.
  • Do not write the call number on an adhesive label.
  • When writing the call number in LSC-SPECL items, always precede it with "LSC-SPECL"

Marking Procedures

  1. Write the call number on the title page verso, if possible.
    1. If the item does not have a title page and the title appears on the cover, write the call number on the cover verso, if possible.
    2. If the title page verso (or cover verso, when there is no title page) is not appropriate for the call number, write the call number on the verso of one of the preliminary pages.
    3. If none of the above options are feasible (for example, if every page in a book contains illustrations, or if the paper is too glossy to write on), write the call number on a plain white flag and insert it into the item.
  2. Do not apply the barcode to the item. Instead, paperclip the barcode to a blank acid-free flag and insert the flag in the item.
  3. Insert an LSC-SPECL flag in the item. 
  4. Place the item on the special processing shelf labeled LSC-SPECL/LSC-WRC (near the marking table).
