I. Basic Orders (Efirm, Ereffirm)

 There are two categories of Basic E-orders:

YBP/GOBi: These will be paid for by the Firm Orders Receiving Coordinator. These will almost always have a YBP supplied purchase order number (e.g.,: 99940772020). Cataloging staff will be responsible for receiving and Loading these items as part of their workflow.         

Non-YBP/Gobi: These will be received and paid for by other Acquisitions staff (Scott, Kiem, David, or Janice). Acquisitions staff will also be responsible for Loading these items as part of their workflow. The procedure for receiving these items is:

 

  1. Using the Modify Order Wizard, go to the Segments Tab;
  2. In the Received well, use the dropdown menu to select “Today”;
  3. In the Loaded well, use the dropdown menu to select “Today”;
  4. Hit the Save Your Changes button at the bottom of the screen.

II. Dated Orders (Etext, Esubtext, Erefmaint, Efirmmaint)

 

These will be received and paid for by Acquisitions staff (Scott, Kiem, David, or Janice). Dated Orders DO NOT get loaded (orders for previous fiscal years are globally Loaded as part of Rollover). The procedure for receiving these items is:

 

  1. Using the Modify Order Wizard, go to the Segments Tab;
  2. In the Received well, use the dropdown menu to select “Today”;
  3. Hit the Save Your Changes button at the bottom of the screen.

Please note that when entering both a Basic and Dated Order for the same item (usually a one-term purchase where there is an ongoing maintenance fee), the Dated Order should be entered first to properly display the “Current Subscription” status. Cataloging is aware of this procedure and is responsible for entering the Dated Order first.

 

III. Recurring Orders (Estand)

 

There should be virtually no Estand Orders (there is currently one, for a CD-ROM product). If any orders are placed using this order type or if there are any concerns that an e-product is a true standing order, show to David.
