Special Projects – Sandi Edwards

  • Reference re-location to Ref-Desk or Stacks
  • Reference withdrawals

Sandi Edwards will be bringing trucks to DBM as part of weeding the Reference collection. She will mark each truck and each volume to either be moved from Reference to Ref-Desk or Stacks or withdrawn from SIRSI.

  • Bring up the record by barcode (Item ID in Sirsi)
    • Some records will be for individual volumes, others may be sets. Make sure the call number and barcode in the record match.

Location change from Reference to Ref-Desk

  • Update Location to Ref-Desk
  • Place note in Staff notes in SIRSI record: “moved from Reference to Ref-Desk per SE (date)
  • If there are MARC holdings, change Reference location to Ref-Desk. Add note in 852: |xlocation changed from Reference to Ref-Desk per SE (date).
    Note: If earlier editions are in Stacks, there should be two MARC Holdings records, one for Stacks and one for Reference. These may have been combined into one holdings note. If so, take the Reference information out of the Stacks note and create a new Ref-Desk MARC holdings record. In Stacks holdings record, make note|zLatest edition is at Ref-Desk. In Ref-Desk holdings record, make note |zEarlier edition(s) are in Stacks.
  • On the book's title page change “Reference” to "Ref-Desk"
  • Put on Reference cart at Marking Table with Reference and Change flags so that label can be changed to Ref-Desk.

Location change from Reference to Stacks

  • Update type from Ref-Book to Book.
  • Change home location from Reference to Stacks
  • Add Staff note “de-refed per SE --date”
  • Update MARC Holdings note location, if there is one, from Reference to Stacks
  • Remove Reference date slip; replace with regular slip
  • Erase Ref. or Reference from call number on title page or verso
  • Place small piece of labeling tape over Ref or Reference in the call number. Marking table will give you the strips, which must be cut to size.

Withdrawal from Reference

Follow the instructions for Withdrawing Items

  • Keep a monthly count of withdrawals. At the end of the month, give the numbers to Jiun Kuo

Barcode Linking

The Government Document staff will occasionally bring a barcoded microfilm, but it is not linked to the Sirsi record. If there is a record, DBM will link the barcode as usual. If not, then the DBM will find and transfer the proper record and link the item as usual.
