Editing Sets

1.  COMPLETE EDITING SETSCOMPLETE SETS

 

Follow normal monographic cataloging procedures except:

  • If CIP, check dates in fixed field,
  • Record number of volumes in 300 field,
  • Add contents (505 0 field) if appropriate.
  • Create MARC holdings record (see MARC Holdings Records in Sirsi) with the home location in field 852 and the inclusive volumes and dates in field 866.
  • Create a dummy call number if set contains 4 or more volumes (see Dummy Call Numbers in MARC Holdings Records in Sirsi)
  • For “fat” paperbacks: , the entire set will go to Binding Unit Preservation Services even if only one volume is actually plumper bigger than 1.5”5 inches.

INCOMPLETE 2.  INCOMPLETE SETS

 

Follow normal monographic cataloging procedures except:

  • Leave dates open in fixed field and 260/264 field
  • Leave number of volumes blank in 300 field
  • Add incomplete contents (505 1 field) if appropriate
  • Add individual series tracings in 8XX field for series which are not published consecutively
  • Create a dummy call number (see Dummy Call Numbers)if volumes are published out-of-sequence
  • Create holdings record (see MARC Holdings Records in Sirsi)

3.  ADDITIONS TO SETS

 

When set is complete, close dates in the fixed and 260 fields. To remove the On Order message from the bibliographic record, change number of copies from 1 to 0 in the following 3 wells:  # of copies ; funded copies ; # copies.

  • Display bibliographic record and load order using the ‘Link Order Line Holdings to Titles’ Wizard.
  • Load unbound fascicles from order record, or, if loaded from bib record, delete resulting item record.
  • Add ISBN if appropriate
  • Add contents to 505 field if appropriate
  • Add series tracingstracing if appropriate
  • Add to volume holdings in MARC holding record
  • Check the bibliographic record for changes to title, author, editor, publisher, and series fields; make notes and added entries as necessary.

The Head of Cataloging periodically checks for individual cataloging record sets available through OCLC and sets up standing orders as necessary.

 

STANDING ORDERS

The first volume of a set received on approval (except Harrassowitz) should be sent to the decision shelf (See Ordering Procedures).

SUPPLEMENTARY MATERIALS

Sometimes, a volume of a set will contain supplementary material such as microfiche, a computer disk, or an audio tape.   For complete information, including instructions for CD-ROMs, DVDs and DVD-ROMs accompanying printed material, see Mixed Media.

MICROFICHE:

  • Government Publications will try to make copies which are retained in the book.  The originals are held in the microfiche collection in Government Publications.
  • Put a note in the record reflecting this.

COMPUTER DISK:

  • Copy the disk.
  • Keep the copy in the book and shelve the original in Technical Services
  • Put a note in the holdings record.

AUDIO TAPE

  • Send cassette to Brown Library marked with location MUSIC-DESK
  • Note in holdings record
