EDITING SETS

COMPLETE SETS

Follow normal monographic cataloging procedures except:

  • If CIP, check dates in fixed field,
  • Record number of volumes in 300 field,
  • Add 505 0 field if appropriate.
  • Create MARC holdings record (see MARC Holdings Records in Sirsi) with the home location in field 852 and the inclusive volumes and dates in field 866.
  • Create a dummy call number if set contains 4 or more volumes (see Dummy Call Numbers in MARC Holdings Records in Sirsi)
  • For “fat” paperbacks: entire set will go to Binding Unit even if only one volume is actually plumper than 1.5”.

INCOMPLETE SETS

Follow normal monographic cataloging procedures except

  • Leave dates open in fixed field and 260
  • Leave number of volumes blank in 300 field
  • Add 505 1 field if appropriate
  • Add individual series tracings in 8XX field for series which are not published consecutively
  • Create a dummy call number (see Dummy Call Numbers)
  • Create holdings record (see MARC Holdings Records in Sirsi)

Try to determine the total number of volumes there will be in the complete set and other

relevant publication information.  Record in 852 field of MARC Holdings Record.

When set is complete, close dates in the fixed and 260 fields. To remove the On Order message from the bibliographic record, change number of copies from 1 to 0 in the following 3 wells:  # of copies ; funded copies ; # copies.

ADDITIONS TO SETS

  • Display bibliographic record and load order using the ‘Link Order Line Holdings to Titles’ Wizard.
  • Load unbound fascicles from order record or, if loaded from bib record, delete resulting item record.
  • Add contents to 505 field
  • Add series tracings
  • Add to volume holdings
  • Check the bibliographic record for changes to title, author, editor, publisher, and series fields; make notes and added entries as necessary.

Some volumes are received in fascicles.  These should have the call number written on the top left-hand corner and be given to the serials receiver.  When the last piece is received, it and the accompanying title page are given to Binding.

When a monograph changes to a set, fill out a boxwork slip for the original volume with instructions to add v.1 to the call number.  Re-open the record and treat as either a complete or incomplete set.

STANDING ORDERS

The first volume of a set received on approval (except Harrassowitz) should be sent to the decision shelf (See Ordering Procedures).

The first volume of a set received on firm order, including Harrassowitz, should be sent to the decision shelf.
