Sometimes you may need to move item records from one Sirsi bibliographic record to another.  There is a wizard to do this and it is a fairly simple process, but the steps need to be followed in order.

  • First, check whether or not there are any orders attached to that record (if you move an item with all the records to a different bib record, Sirsi will get confused and you will have to log a problem for IT to fix it.  If you are not comfortable with editing orders, get someone from Acquisitions to help you).
  • If there are orders, edit the one with the most recent fiscal year to attach it to the generic (VIEW FOR HOLDINGS) item, or if there is not one, to an item that will be remaining on the original record: 
    • First, copy the Item ID (barcode) of the item to which you want to attach the order
    • In the Modify Order wizard, search for the order you want to change and click Modify Order
    • Go into the Title Info tab
    • Click the Change Title Link icon (second from the left, looks like a little pencil writing on a piece of paper)
    • Paste the barcode number on the Item ID line, and click OK
    • Click Save Your Changes
    • Click Finish, then Save and Close (these seems redundant, but you have to do all these steps or your changes won't be saved)
  • If there are no orders, you can procede with the transfer by opening the Transfers wizard
  • A Sirsi search screen will open up, which you can use to search for the titles just as you would normally search for anything in Sirsi.  
  • Enter the search for your first title; an index list will appear in the pane at the bottom third of the screen.  Highlight the desired title and click Add to tree.  That title will then appear in the pane in the center of the screen.
  • Repeat the process until you have moved all the titles you need into that center pane. You will need to search for both the title you are transferring the items(s) from and the title(s) you are transferring the item(s) to.
  • Working in the center pane, click the little plus sign to the left of each title to display or hide the volume and/or item information
  • Click on the volumes you want to move (hold down the <Ctrl> key to select multiple volumes)
  • At the bottom of the screen, click Retain for Transfer; those volumes will now be highlighted
  • Now return to the center pane and click on the title you want to move the volumes to.
  • At the bottom of the screen, click Transfer.
  • A window will eventually appear telling you the volumes were transferred (or, if not, an error message).  Click OK and close the wizard.  Your volumes should now be on the new record.
