CATALOGING ANALYTICS

ANAL = series is currently being analyzed.

SELECTED ANAL = series analyzed only upon request.

Analyzed pieces have to be bound separately and cannot be boxed (shelved unbound until there are enough pieces to bind together) because each monographic title needs to be barcoded.

Adding analytics:

Search and display the bibliographic record of the series to determine if volumes need to be loaded.  Volumes not received individually on Sirsi order record should have flag with note “Not received online”.

Add piece to holdings record.

Write call number on title page, paying careful attention to volume designation (v., no., yr., etc.).

Cataloging analytics:

Search on Sirsi to verify record is not already in system.

Search OCLC for copy.

If DLC or Good Member copy is found, transfer, update holdings on OCLC, and catalog volume.

  • Use the AACR2 entry for series added entry.
  • In Modify Title, check home location and item type.  Change the current location to INPROCESS and the item cat2 to correct cataloging type.
  • Input call number using series call number and volume designation.
  • Input cataloger’s logon in created by field and update date cataloged.
  • In Comments field input od=(Sirsi order number of series) to indicate why this record does not have an individual order record.
  • Input barcode and attach to the volume; write control number of analytic record on title page.

If other member copy is found, transfer record and update holdings on OCLC.  Verify all entries and subject headings and edit bibliographic record as necessary.  Complete cataloging as above.

Make print-outs for name authority reports as needed.

Send bound volumes to marking table truck and unbound volumes to in-house binding, with high priority items going to the high priority bookshelf.

SPECIAL PROBLEMS

 

Sets within analyzed series

Some series contain sets, so if the title contains a part or number or year, search carefully on Sirsi for a set record.  If the volume is part of a set:

  • Add to set holdings (use pt. to avoid confusion with volume designation of anal).
  • Add to 505 contents note if appropriate.
  • Add series tracing for that number or volume.
  • Create a new call number structure for the volume.
  • Change current location to INPROCESS and enter barcode if not entered when item created.

If cataloging an anal retrospectively for items that are bound together, add the call numbers to the series record instead of to the individual anal.

In older cataloging records watch for pre-AACR2 forms of series added entry.  All series added entries now being input are traced in AACR2 form.

When a record for a new anal is discovered already in our system, check with Acquisitions to determine if the record is for a firm order that can be returned or if the anal is a duplicate that can be returned.

Some anals are loose-leaf volumes that have replacement pages from time to time.  A student can replace the pages; no changes need to be made to our record.

Items with no copy in OCLC

Date of search is put on flag and volume is put on a hold shelf to be re-searched at one month intervals for six months.  If no copy is found by that time, an original cataloging record is input in OCLC and transferred to our system.
